Attendance: Chris Anglim, Dorothy Blow, Joan Chapa, Jackie Crinion, Amory Irby, Michael Kaminski, and Kathy Amen.
The main order of business today was planning for the Depository Library Council meeting to be held here April 1-4, especially for the Monday evening reception. News flash regarding the meeting: it may be moved to the Gunter, as a more lucrative meeting wants the Sheraton. This would be ok, except that we had counted on people being able to walk from the hotel to SAPL for the reception. If it's moved, we may have to arrange transportation. Joan is in contact with Robin Haun-Mohamed at GPO (who is now in charge of planning the meeting) and will keep us posted.
First order of business for the reception is to line up a caterer. Wilson will check the city-approved caterers list and will also find out if alcohol is okay for a function being held while the library is open. When he has this information for us, Jackie and Kathy will call a few caterers for estimates. Joan suggested telling them we have $1500 to spend, and expect a crowd of 200 (Marcive is footing the bill for the caterer). We'll want finger-food, preferably with a local flair. After talking to the caterers, we'll know if we should provide decorations or if they will, and can talk about how we want the tables arranged in the SAPL auditorium.
Kathy had volunteered to host GPO Access training at St. Mary's in conjunction with the conference, and has received information from GPO regarding this. The date will be Saturday, March 31. They want to know if we want half or whole day, and which topics. Jackie suggested that perhaps having the training at UTSA Downtown instead might be more convenient for both Council meeting and TLA attendees (TLA finishes up on the 31st) and Kathy is happy to pass the hosting along to them. We thought perhaps a half day is all we would need. (NOTE: I got email from GPO today (2/24) and they want to do a full day; I told them we'd do our best to get enough people for them--KA) When the site and times are finalized, we'll send out announcements to all the local libraries, and also see about getting something announced through TLA. If any of you have contacts with TLA or suggestions as to who could do this, let Jackie or Kathy know.
Joan wondered if a Marcive tour is something that Council meeting attendees would want to do. We suggested she ask for interest on Marcive's mailing list. If there is a tour, we could possibly help with transportation. There is at least one scheduled tour of SAPL on the meeting agenda; it's Tuesday the 3rd at 2 p.m.
Tina and Dorothy are to work on combining restaurant lists. Marcive will print them, so just send them to Joan (jchapa@marcive.com) when they're ready.
Kathy will get in touch with Robin and ask her what to do about some of the other vendors who expressed an interest in sponsoring something at the meeting (pastries with morning refreshments, transportation (if needed) to reception, etc.)
